Position Overview:
We are seeking a highly organized, detail-oriented, and proactive Personal Assistant/Medical Scribe to provide administrative and medical support to a healthcare professional in concierge medicine. The individual will assist with managing daily tasks, ensuring smooth operation of clinical activities, and documenting patient encounters accurately. This role combines both administrative duties and medical scribing, making it ideal for someone with an interest in both healthcare and personal assistance.
Key Responsibilities:
Personal Assistant Duties:
Calendar Management: Organize and maintain appointments, meetings, and personal schedules, ensuring efficient time management.
Communication: Act as a liaison, screening phone calls, emails, and messages, and responding or redirecting as needed.
Travel Arrangements: Coordinate travel bookings, hotel accommodations, and itineraries for work-related trips.
Task Management: Prioritize tasks and ensure deadlines are met for both personal and professional responsibilities.
Document Preparation: Assist in creating, editing, and proofreading documents, including letters, reports, presentations, and more.
Expense Management: Track expenses and assist with budgeting and bill payments.
Errand Running: Handle personal tasks such as shopping, deliveries, or other errands as needed.
Medical Scribe Duties:
Patient Charting: Accurately document patient encounters during office visits, including medical histories, physical exams, diagnoses, and treatment plans.
Electronic Health Record (EHR) Management: Input patient information into EHR systems, ensuring completeness and accuracy.
Clinical Documentation: Assist physicians and healthcare providers in documenting all aspects of patient care, including progress notes, lab results, and follow-up instructions.
Medical Terminology: Utilize medical terminology to accurately transcribe and summarize physician notes, maintaining clinical precision.
Patient Communication: Relay patient instructions, appointment reminders, and follow-up details as instructed by the healthcare provider.
Confidentiality: Maintain patient confidentiality at all times, adhering to HIPAA and other healthcare privacy regulations.
Skills and Qualifications:
Proven experience as a Personal Assistant or in a similar administrative role.
Medical Scribe experience or knowledge of medical terminology is highly desirable.
Excellent organizational skills with the ability to manage multiple tasks efficiently.
Strong written and verbal communication skills.
Proficiency in EHR systems, Microsoft Office, and other office software.
Attention to detail and the ability to maintain accuracy in documentation.
Discretion and professionalism, especially when handling sensitive or confidential information.
Time management skills with the ability to prioritize tasks effectively.
Ability to work independently and collaborate with a team.
Education and Experience:
High school diploma or equivalent required; Associate’s degree or certification in medical assisting or a related field is preferred.
Previous experience as a Personal Assistant and/or Medical Scribe is highly preferred.
Certification in medical scribing (e.g., CCS-P, RHDS) is a plus.
Working Conditions:
Full-time position with occasional evening or weekend work as required.
Primarily office-based, with potential for occasional remote work.
This role may require standing, walking, or sitting for extended periods, depending on the working environment.
